What is the AYLC Online Application System?
To make the application process easier, we have developed the AYLC Online Application System as a convenient method for submitting the student application forms. Through this system, nominees need not fill out paper copies or MSWord files of the AYLC application form. Instead, all information needed for the AYLC application, including mentor and colleague assessments, can be filled out and submitted online.
The AYLC Online Application System will be available from August 16-31, 2010. The submission deadline for the online application form is at 11:59 p.m. of August 31, 2010.
We would like to emphasize that should the school prefer not to use the online system, and instead submit hard copies of the forms through post/courier or soft copies through email, the deadline for all forms remains to be August 16, 2010.
Online Application System Guidelines (for SCHOOLS)
- Schools submitting via the online application system must require ALL of their official nominees to complete the AYLC application form online.
- Each school is assigned pairs of ten (10) usernames and passwords for its official AYLC nominees. These should be made available only to the school’s official nominees.
- The school assigns each of its official nominees one (1) pair of username and password and provides one (1) copy of the AYLC Online Application System Guidelines for Nominees.
Students will use these to log-on to the AYLC application site. Usernames and passwords are strictly confidential and must be kept carefully. The secretariat will not provide a replacement should students misplace or forget the one assigned to them. All usernames and passwords will expire by August 31, 2010.
- For verification purposes, please note that the following important documents should still be sent by courier or post:
- The official school nomination form signed by the school president with the school’s dry seal containing the names of the official nominees
- Official nominees’ transcript of records/grades
These documents are due as well on or before August 31, 2010. Nominees with incomplete documents will not be screened.
- A notification will be sent to the school via fax confirming our receipt of your nominees and the status of their application form. Nominees for interview will be notified by mail c/o the school’s student affairs office by October.
Online Application System Guidelines (for STUDENTS)
Guidelines
- Deadline for submission via the online application system is at 11:59pm of August 31, 2010.
- A notification will be sent to the student’s email address confirming receipt of the student’s application form. Nominees for interview will be notified by mail c/o the school’s student affairs office by October.
- The system allows nominees to monitor which of his 3 mentors and 3 colleagues have given their assessment. The Assessments Status section can be checked regularly to remind the student to follow up on his mentors and colleagues.
Process
- Log-on to the AYLC application site from August 16-31, 2010, using the username and password assigned to you by your school. Keep the details of your username and password to yourself. The secretariat will not provide a replacement should you misplace or forget the one assigned to you. All usernames and passwords will expire by 11:59pm of August 31, 2010
- Complete the online application form. If you are unable to finish answering in one session, the system allows you to save your data, to be edited and completed at another session. When filling out the form, we advise you save your entries periodically in case your internet connection gets disconnected.
- You are required to nominate three (3) mentors and three (3) colleague assessors and indicate their email address. Approach them early to give them enough time to assess you.
- Inform your mentor and colleague assessors about the online application process. Make sure that the email address they give you is accurate, working properly and one that they check frequently. The link to the mentor and colleague assessment form will be sent directly to their email address.
- Upload a solo, 2in x 2in photo with white background. Your photo must be in jpeg format not more than 2MB in size.
- Review all the data inputted for accuracy and truthfulness before submitting. Ensure that all required fields are filled out. Once you have submitted your form, you will no longer be allowed to make changes to the inputted data.
